Working with I-CASH–POS

Reports from the quick sales module

The software can produce many different reports. In this post, we will cover only those printable on a non-fiscal printer and those built into the fiscal device.

I. FISCAL DEVICE REPORTS

You can print four reports from the fiscal device. All reports are run from the quick sales module.

1. Operator reports

This report contains information on accumulated turnover for a user (operator). Open the POS menu, the three horizontal lines at the top left, and select Operator report under Register.

2. X report

Prints a report showing the turnover accumulated so far. Every report is regulated by law, but the printed information may vary. For more information, please contact the company servicing your fiscal device. Open the menu and select “Daily reports”. You can also run a Z report using this button.

3. Z report

This report is run at the end of the working day in two copies: one for the accountant and one attached to the cash book. It resets the fiscal device (cash register, printer or portable device). To print a Z report, select Daily reports from the POS menu and choose Z report.

Following the latest legislative changes, all fiscal devices currently on the market generate automatic Z reports. Each manufacturer implements this differently, so please contact the company servicing your fiscal device (you can find its details in the cash register's service booklet).

3. Report for a period

In 99% of cases, this means a monthly or annual report. To print one, open the POS menu and choose Reports by date. Select a start and end date in the window and print the report.

II. NON-FISCAL DEVICE REPORTS (THERMAL PRINTER)

To print information through a non-fiscal printer, it must be connected to the program and configured to work with it. You can find information about connecting a thermal printer to a computer (Windows) or tablet (Android) in the blog section of our website. There you will also find information about preparing templates and how to use them.

The non-fiscal printer can print five reports using predefined templates:

1. Operator report

Prints a report for the current system user. This is a permission assigned to each user, and this menu button can be shown or hidden. Select “Cashier reporting” in the menu. The report includes reported turnover, the user's name, cash paid in and paid out, totals by payment type, the amount to account for and the money accumulated in the cash register.

2. Report for all operators

This feature prints a non-fiscal slip showing the accumulated turnover of all system users, similar to the previous report, and adds the total turnover of all operators.

3. Station turnover report for a user

This report is used by restaurants and fast-food establishments. It shows turnover accumulated by department (printer) for the current user. The report includes the user name, reporting period, department totals and the time and date it was printed.

4. Station turnover report for all users

Similar to the one described above, but separately for all users who used the program.

5. Detailed report

All reports described so far are brief. If they do not contain the information you need, you will most likely find it in the detailed report. Select 'Extended report' from the POS menu. This is the only report designed for A4 printing through a system printer. It includes user information, amounts by payment type, a detailed breakdown of every sale or reversal, and an option to record the banknotes counted.

III. HOW DO WE READ THESE OPERATOR REPORTS?

As described earlier in the article, every report produced by a fiscal device is regulated by law. Even so, reports from cash registers made by different manufacturers vary. For more information, please contact the servicing company.

There is a discrepancy between the fiscal device report,

and the one from the quick sales module

Depending on our working style and how we use the program, discrepancies may occur between reports. Unfortunately, there are many possible causes, but we will try to list them all.

The most common discrepancy occurs because the fiscal device generates an automatic Z report at a certain time of day and sends it to the NRA. Other reports from non-fiscal printers are not reset, creating a difference.

Another possibility is printing a second, manual Z report, meaning the register has reset twice within 24 hours, also causing a discrepancy.

The same applies when operator reports are reset more than once from the non-fiscal printer.

Incorrect master data: an item assigned to more than one item group linked to more than one station. This duplicates station turnover and causes discrepancies.

If information is entered manually into the cash register for any reason.

Accidentally failing to reset the non-fiscal or fiscal reports, leading to accumulated totals.

Reinstalling the program with unfinished open bills causes information loss.

When communication is lost or disrupted between the fiscal device and the computer (tablet) on which the quick sales module is installed.

IV. OPERATING TIPS

Where possible, run thermal printer and fiscal device reports at the same time.

Perform hardware maintenance, paying particular attention to connections between devices, including cables and interfaces.

For businesses operating before and after 0:00, and those operating 24:00 hours a day, please monitor your employees' reporting carefully.

Do not give unreliable employees access to reports.

Notes:

If the program reports unfinished bills after you select a report, check the Open bills menu. The program allows any report to be closed, but unfinished operations will be included in the next report.

You can find many images of fiscal device report examples online.

If a button for one of the listed reports is missing from the menu, you do not have access. Edit the active user and grant access in the web interface under Settings – Users – Roles.

For customers using the non-SUPTO version, the likelihood of a discrepancy is almost 100%.
