Document customization
A new feature is now available to I-Cash retail software users: document customization. What exactly do we mean by document customization?
Every software product can generate basic commercial documents such as invoices, goods receipts and many others. In most cases, users can choose from two or three document designs.
I-Cash users fall into this category and can use one basic document template. Settings allow them to add a logo and enable or disable elements such as comments, payment method, price and discount columns, and more.
If that is not enough and you want to stand out and give your customers memorable documents, the new feature can be activated to let you create your own design.
Document customization
Navigate to Settings –> General –> Documents and select Add new document.
A text editor window opens. Anyone familiar with Microsoft Office products will recognize it. Some functions overlap, so you should have no difficulty creating a new document.
Enter a name for your new document and select the transaction to which it will be attached. Transactions in I-Cash can be unfinished (open) or completed (closed).
You can include predefined headers and footers in your documents. These two elements are prepared separately and can be accessed from the previous menu.
Documents being prepared can be linked to an operation or an item. What does this mean? If an operation is selected, the document appears in the Documents menu, the icon in the rightmost column of operation lists.
These documents are used to design pro forma invoices, invoices, invoices in currencies other than BGN and in different languages, warehouse receipts with additional information, or transport documents. With this type of document, labels can be printed on A4 paper from any open delivery or sale, containing information about each item and its new price.
If “Item only” is checked, this document will be available at the far right of each transaction row when an item is added.
These documents relate to a specific item, such as warranty cards or certificates. They also allow customers to prepare labels. These files can be sent to a label printer.
Creating a document
The editor's first row contains tools for formatting document text and placing it in tables.
The second row contains all variables you can use in the document. These will be replaced with information from the database. For example, selecting Note from the Operations menu displays, in place of the marker, <OperationComment>. After saving and opening our document, the transaction comment will appear in place of this variable.
An important point about variables: some can be used anywhere in a document, more than once, and selected individually from the menus.
The second group of variables is inserted several at a time as a table. These variables are included in a loop: all items involved in the operation, inserted through 'Items table'. These variables work only when arranged in the order in which they were inserted; if removed from the table, they appear as plain text. The table containing variables for VAT and the taxable amount of the operation, 'VAT table', works in the same way.
Every document element can be styled in the editor. You can edit text, increase or decrease its size and move it left or right. For tables, you can set parameters for the entire table and customize each cell separately.
The entire document generates HTML code, which can also be edited and copied for other documents.
Depending on the program version, the same variable may display a different result.
