Document types – I-Cash
Every licensed retail software package issues basic accounting documents
In addition to mandatory document elements, I-Cash lets you create customized documents and documents with additional elements according to customer requirements.
All I-Cash documents are generated as PDFs and can be printed and/or emailed.
Goods receipt
A goods receipt is generated automatically for every new sale, regardless of the document type selected.
Invoice
There are three ways to create an invoice in I-Cash:
- via New sale and selecting an invoice from Document information;
- using the icon Generate invoice (in column Changes ) for the corresponding sale already completed;
- using the icon Add a new payment (in column Changes), for an existing advance invoice.
The advance invoice
Create an advance invoice using the button New sale and selecting the document type.
It is recorded in the system as partial payment, until an invoice is issued for it. This is done using the icon Add payment (in column Changes). The remaining amount is filled in automatically, and completing the operation generates the final document.
Pro forma invoice
Create a pro forma invoice similarly to an advance invoice, using the button New sale and selecting the document type.
The pro forma invoice is marked as open sale, until it is completed. To complete the operation, edit the pro forma invoice (icon Edit from the column Changes ). Select the document type you want generated.
Delivery documents
The created new delivery can be edited within 24 hours. After that, the operation is archived and corrections require a new return to supplier.
There are two different ways to perform a supplier return:
- via New supplier return (column Changes). Select it to change items, quantities, prices and more;
- via View purchase and Purchase adjustment – at the end of the document. This automatically generates a supplier return to reconcile quantities. The delivery is copied as a new one and then edited.
Write-off
To write off an item, select its location and a price, such as selling or purchase price. To view the write-off report, select the icon Documents (column Changes).
Stocktake
You can perform a stocktake at each location in two ways:
- by list—this option lets you select an item group. You must check the stock of all items; otherwise, their quantities are set to zero;
- by item: perform a stocktake of selected goods only.
An item-based stocktake lets you import items from a .csv file or barcode scanner file (after initial scanning each item's barcode).

Transfer
I-Cash lets you transfer items between locations.
Preparing customized documents
In addition to mandatory elements, documents can include extra fields according to your requirements:
- company logo;
- expiry date;
- batches;
- tax rate table;
- customer phone and email;
- price including VAT and before discount;
- price excluding VAT;
- price excluding VAT and before discount;
- total price excluding VAT;
- currency;
- manufacturer/importer;
- note;
- DVSK veterinary control number;
- print date.
The system also allows additional documents for commercial operations: warranty cards, handover protocols and others.
